Guests see the final result. The venue, fully decorated. The perfect lighting. The drinks and canapés ready to serve. What they don't see is the huge amount of work and coordination it takes to host a successful event.
What looks simple on the surface is often months of planning behind the scenes.
It’s not just about choosing a venue or a wine list. Planning starts well in advance and typically follows five key stages:
Discovery
Design
Planning & Management
Execution
Review
Discovery: What kind of event is it?
Is it a team building event, corporate client event or private celebration party?
What is the purpose: to bring people together? To celebrate a milestone? To present and inform?
This all impacts the design and theme of the event. The creative side, the vision, the mood boards. Does the theme work with the space? Does it create the right experience for the guests?
Next, planning & management. This is where coordination begins. Securing vendors, managing budgets, equipment, tech, entertainment, staffing - every element needs to align. A high-level of communication across all departments is crucial at this stage, to ensure the event runs smoothly.
Details: decoration, lighting, timing, food, drinks...the list goes on.
How do should guests feel when they arrive?
What atmosphere are we creating?
What will the flow of the event be?
Every detail is carefully considered.
Execution
An event will never go 100% to plan. That’s why preparation is key. Planning for multiple scenarios ensures that if something unexpected happens (whether it’s a delayed speaker or a change in weather) it can be handled seamlessly.
Guests should never notice the adjustments happening behind the scenes.
Finally, review the event:
What went well?
What could be improved?
What’s the ROI? (Return on Investment)
Reviewing prioritises improvements for future events.
