You see the final result. The venue full set up. The perfect lighting. The drinks and canapes ready to serve. What don’t you see? The huge amount of work and coordination it takes to host a successful event.

It’s not just deciding on the venue and a wine list. Planning starts months before.

Firstly, what kind of event is it?

  • It is a team building event, corporate client event or private celebration party?

  • What are we aiming to do?

  • Are we bringing people together?

  • Are we presenting and informing?

  • Are we celebrating a milestone?

This all impacts the design and theme of the event. The creative side. The vision, the mood boards, the theme. Does it work with the space? Does it feel cohesive? Does it create the right experience?

Next, it’s time to focus on managing and planning. This includes securing high-quality, reliable vendors (with discounts, hopefully!), managing budgeting, equipment and staffing - Event Organisers must bring multiple departments together, ensuring there’s an extremely high-level of communication between them all.

Once the logistics are in place, it’s time to focus on the details. The decoration, the lighting, timing, food, and drinks.

  • How do we want our guests to feel when they arrive?

  • What atmosphere are we creating?

  • What will the flow of the event be?

Every detail is carefully considered.

When executing an event, it never goes 100% plan. My best advice is to plan for multiple scenarios, should anything unexpected happen. Perhaps the guest speaker is running late or there’s been a change in weather. Making sure everyone is aware of back up plans is key.

It’s also important to review the event afterwards.

  • What went well?

  • What could be improved?

  • What’s our ROI? (Return on Investment)

These questions ensure improvements are constantly made for future events.
